What should a construction RFI include?

The number and date, the drawing or spec reference that prompted it, the question stated so it can be answered yes or no where possible, your proposed solution, the date a response is needed, and cost and schedule impact. The response block belongs on the same page so the answer comes back attached to the question rather than buried in an email thread.

Why propose a solution in your own RFI?

Because it converts an open-ended question into an approval. 'Which ceiling height governs?' invites a week of silence; 'we propose to proceed at 8'-8" per the RCP, which clears the duct main, at no cost if confirmed by 1 September' invites a one-word answer. Contractors who write RFIs this way get them back faster, and it puts the cost and time consequences on the record early.

How long should an architect take to answer an RFI?

Most contracts say a reasonable time, and many specify seven or fourteen days. Set the response date on every RFI and track it — an unanswered RFI is only a schedule impact if the record shows when it was asked and when the answer was needed. This tool defaults to seven days and flags anything past due.

Does an RFI response change the contract?

No. An RFI answer clarifies the contract documents; it does not add scope, money or time. If the answer directs work beyond what was bid, that is a change order — and the RFI is the document that proves when the direction was given. Never proceed with extra work on an RFI response alone.
